The Assistant Project Manager is a key part of the company management team. While gaining experience in project management, this individual will perform duties similar to those of the Project Manager. The Assistant Project Manager must interact professionally with all team members, including Owners, Contractors, subcontractors, vendors, superintendents, and field personnel. REPORTS TO:
Project Executive (Manager-once-removed is Vice President of Construction). REQUIREMENTS: Basic knowledge of HVAC mechanical systems with 1-2 years of experience in mechanical or related trades (electrical, HVAC, etc.). Self-motivated; able to work with minimal guidance to meet time-sensitive goals. Basic proficiency in Microsoft Office and Windows OS. Some college coursework or apprenticeship completion preferred. Strong interpersonal skills with a professional, service-oriented demeanor. Ability to work effectively with diverse teams. Ability to read blueprints, drawings, and designs. JOB RESPONSIBILITIES: KRA 1: Project Start-Up
Assist with ordering Bonds and Certificates of Insurance. Coordinate with Project Coordinator to set up the project in ACC Build. Help prepare for the Planning Meeting. Assist with project introduction letters and issuance of Letters of Intent for subcontractors and vendors. Support the Project Accountant in setting up the project in Timberline. Assist the Submittal Coordinator with creating schedules for pipe, fittings, valves, and insulation. Create the Equipment Delivery Log. Help set up the Construction Budget and Change Order Zero Budget. Assist with obtaining permits and distributing contract documents in ACC Build. KRA 2: Contract Requirements/Milestones
Assist with assembling Payment Applications, Bills of Sale, and related documents. Support schedule updates and issue RFI and Submittal Dunning Letters. Review submittals for compliance and manage the submittal process. Follow up with subcontractors and vendors for responses and compliance. Assist with creating and reviewing submittals for HVAC and plumbing. Support creation of Job Hazard Analysis, QC plan, and scheduling inspections. KRA 3: Purchase Orders
Assist in creating and managing purchase orders. Review critical delivery dates with the Project Manager. KRA 4: Subcontracts
Assist in writing and tracking subcontracts and payments. Coordinate subcontractor enrollments and change orders. KRA 5: Change Orders (PCOs)
Distribute RFPs, RFIs, change notices, and bulletins. Send notices of change and write RFPs for subcontractors. Post PCOs in Timberline and update estimates. Communicate approvals and updates to field teams. KRA 6: Project Closeout
Develop and track attic stock, valve, and equipment logs. Follow up on balancing reports and assist with commissioning documentation. Create warranty letters and obtain as-built drawings. Equal Opportunity Employer, including disabled and veterans. #J-18808-Ljbffr
