Admissions Assistant
Rhode Island School of Design (RISD) seeks an Admissions Assistant to join Admissions. This is an exciting opportunity to join a team whose primary mission is to ensure the enrollment goals of the college by bringing in new degree program students as well as first-year, transfer, visiting, post bac, and graduate students. The Admissions Assistant is responsible for the timely and accurate processing of admissions data both in and out of the department's CRM and the College ERP. This position will be responsible for supporting the Associate Director of Admissions Operations in Slate system administration, daily data entry, document processing, answering applicant emails, mail organization, front desk coverage, visitor and event services support, and other clerical and administrative tasks for both the Operations and Recruitment sides of the Admissions Office. Essential Functions: Respond to incoming communication from students, families, and counselors via email and phone. Email communication is managed through Slate Inbox (office CRM) and comes to the admissions@risd.edu address (approx. 28,000 to the office each year; 7,000-8,000 managed in this role per year). Forward emails to others in the office or on campus when appropriate, as well as answer general questions about RISD and the application process. Answer general inquiries coming to the office via phone calls to the main Admissions lines and answer general questions or forward calls on to others when appropriate. Support users, both internal RISD users as well as external users like applicants and alumni, in using the CRM. Assist with general CRM administration such as creating new users, recommending and documenting new processes, as approved, troubleshooting issues, and being a back-up for functions such as Events and Deliver (event and broadcast email functions in CRM). Scan physical documents and attach the digital files to student records in Slate. Retrieve digital records from third party sources such as Parchment, Common App, SlideRoom and testing agencies, etc. Confirm applications are complete. Communicate with applicants via email and phone about missing items from their application when needed. RISD receives approximately 7,200 applications per year. Monitor application completion rates in support of goal to increase completion rates to 90+% and support credential verification process during summer months (verifying test scores and final transcripts
June through August). Visitor and Event operations liaison: Support visitor and event services by building and monitoring on-campus and online events in Slate, serve as a contact (email and phone) for visiting families to register for an event, cancel, reschedule, or change a reservation, answer questions about visiting logistics such as parking, directions, timeframe, etc. Sit at the front desk of the Admissions Office. Greet as many as 200+ daily visitors during busy times and provide general information about RISD, the application process, and/or the information program and campus tour event. Support the Office goal to successfully accommodate more on campus visitors yearly. Assist enrolling international students in completing and submitting necessary documentation and paperwork for lawful entry to the US (peak time April
July). Coordinate, process, send I-20 documentation to students in a timely and efficient manner relevant to their entry into the country. Maintain CRM database of approximately 300,000 prospect records by editing, creating, or updating records in Slate and consolidating duplicate records. Resolve duplicate records resulting from these processes and troubleshoot problems when necessary. Enter data from inquiry cards received from portfolio days, high school visits, and college fairs. Correct data in records that is unclear, improperly formatted, or incorrect. Verify accuracy of data in all systems. Open and organize daily mail coming into the office and distribute to appropriate Admissions Office personnel. Organize, coordinate, and assemble/produce all types of mailings initiated in the Admissions Office such as mailing materials to admissions officers traveling to off-campus events, decision notifications, promotional literature, recruitment materials, etc. Required Knowledge/Skills/Experience: Associates Degree and a minimum of 3 years prior experience working in clerical and/or administrative roles within a busy office environment or equivalent combination of education and experience required. Demonstrated computer skills. Experience with MS Office, CRM, and database systems, preferred. Excellent customer service skills; and proven resourcefulness. Keen attention to detail and the ability to adjust to variable workloads and deadlines. Higher education experience is preferred. Required to be well versed in general information about RISD and the admissions process and represent RISD in a positive manner. The ability to work with a diverse audience with varying needs. Complete and maintain Designated School Official (DSO) training and authorization from Department of Homeland Security. Must be US Citizen or Lawful Permanent Resident to meet federal regulatory requirements for professional practice as Designated School Official (DSO) or Alternate Responsible Officer (ARO).
