Position Summary
This position performs key support and administrative duties for the Executive Vice President and CFO (EVP & CFO), other executives and the Finance Department. This role requires the ability to exercise sound and independent judgement with respect to matters of significance. This role requires strong business acumen and professionalism. This role supports the EVP/CFO, the Executive Team, Finance Department and other Management.
Responsibilities
- Completes a broad variety of administrative tasks including: managing deadlines for the EVP & CFO and other executives and the Finance Department, maintaining an active calendar, completing expense reports, coordinating Finance Department activities, composing and preparing confidential correspondence, agendas, benefits administration and other administrative tasks.
- Works with Finance Department members and Residential Program Administration on personal allowances and food allotments for OPWDD and OMH program participants.
- Oversee and collaborate with the Residential Department on utility accounts (cable, Wi‑Fi, telephone, natural gas, oil, electric). Manages main utility accounts and ensures new service and cancellations are completed timely.
- Collaborate with Facilities Maintenance and Accounts Payable on large project bidding as well as day-to-day operations.
- Secures all insurance certifications to include liability, disability and worker’s compensation for vendors, contracts and as requested.
- Responsible for taking inventory and ordering office and program supplies for the Finance Department.
- Reviews rent reports to ensure correct amounts for the following month’s rent payments, working with Finance Department team members.
- Assists in the preparation and implementation of the strategic plan.
- Acts as a back up to other Administrative Assistants.
- Other duties as assigned.
Education
- Associate degree (REQUIRED)
Experience
Three years’ experience as an Executive Assistant or four years of office management experience. Two years financial office experience.
Licenses / Certifications
- N/A
Preferred Qualifications
- Five years’ experience as an Executive Assistant preferred.
- Managerial/Supervisory experience highly preferred.
Required Skills
- Strong working knowledge of Microsoft Office Suite
- Ability to manage multiple priorities
- Professionalism and ability to handle confidential information with integrity
