Our client, a growing AM 200 law firm with offices in Downtown Houston, seeks and experienced Litigation Legal Assistant to join their team. This role is essential to the success of the legal teams, providing high-level administrative and secretarial support to attorneys. You'll be part of a collaborative environment, working closely with colleagues across multiple offices to deliver exceptional service to our clients. This position primarily supports a group of attorneys and may provide backup assistance as needed.

Core Responsibilities

Deliver outstanding service to internal and external clients. Draft and prepare legal documents, correspondence, pleadings, notebooks, indexes, and exhibits. Anticipate attorney needs to enhance efficiency (e.g., draft correspondence, prepare shell pleadings/discovery). Proofread documents for accuracy and completeness before distribution or filing. Prepare and submit client intake forms accurately. Organize and maintain legal files and records. Track court-ordered actions and ensure timely follow-up. Use standard naming conventions for document management and email filing. Maintain and update contact records in Outlook and firm databases. Assist with billing: request pre-bills, prepare statements, and coordinate with Client Accounts on collections. Monitor and follow up on client deadlines and calendar appointments. Coordinate meetings, depositions, mediations, interviews, and attorney travel. Support CLE compliance, training programs, and other non-billable activities. Answer phones, relay messages, and manage communications related to legal matters. Handle mailings, faxes, certified mail, FedEx, and interoffice deliveries. Master practice-specific tasks such as drafting correspondence, spreadsheets, and reports. Provide support to legal and non-legal personnel as needed. Serve as a Notary Public when applicable. Perform other duties as assigned. Requirements

Education

High School Diploma required; Bachelor's degree preferred.

Experience

4+ years of experience as a civil litigation legal assistant is required.

Previous experience working for an AM 200 law firm preferred.

Additional Required Qualifications

Stable job history. Experience filing pleadings in both state and federal courts. Familiarity with Harris County filing procedures. Proficient in PACER and CM/ECF systems. Knowledge of serving pleadings and legal communications. Experience with docket calendaring and litigation procedures. Skills & Competencies

Strong knowledge of legal terminology, documents, and processes. Advanced proficiency in MS Word, Outlook, Excel, and document management systems (NetDocs preferred). Ability to manage multiple tasks and meet deadlines in a fast-paced environment. Strong client service orientation and team collaboration. Initiative, flexibility, and resilience in adapting to change. Self-motivated with minimal supervision.
