Job Summary:

This role is responsible for ensuring the smooth operation of the executive office and supporting the organization's U.S. business initiatives. This position provides high-level administrative and project coordination support to leadership team, enabling efficient communication, timely decision-making, and effective cross-functional collaboration.

Duties and Responsibilities: Meeting Coordination: Organize and schedule meetings, appointments, and events for executives. Document Management: Maintain and organize important documents, files, and records. Board Support: Assist in preparing materials for meetings and ensuring compliance with regulations. Regulatory Compliance: Stay informed about relevant regulations and assist in ensuring organizational compliance. Communications Support: Aid in drafting, proofreading, and distributing internal and external communications. Event Coordination: Assist in planning and executing events, including logistics and coordination. Policy Creation: Support in the creation and maintenance of organizational policies and procedures. Executive Travel & Expense Management: Coordinate executive travel arrangements and process expense reimbursements. Cross-Functional Liaison: Facilitate communication and collaboration between departments, leadership, and external stakeholders. Special Projects Support: Assist executives in special projects and initiatives as assigned. Perform other duties as requested or assigned. Education:

Bachelor's degree required in Business Administration, Management, Communications, or related field. Master of Business Administration (MBA) or equivalent advanced degree preferred. No specific licenses required; professional certifications in project management or administrative management are a plus. Experience:

Minimum 1-2 years of professional work experience in administrative, coordination, or office support roles. Must be bilingual in English and Chinese (spoken and written) to support cross-border communication. Experience in meeting coordination, document handling, or executive support preferred.
