Overview
DS3 is seeking a highly organized and proactive Executive Administrative Assistant to provide direct support to the executive leadership team. This role requires exceptional attention to detail, discretion with sensitive information, and the ability to manage multiple priorities in a fast-paced environment. The Executive Administrative Assistant will serve as the primary point of contact for scheduling, communications, and executive-level coordination.
Key Responsibilities
Executive Support
Manage complex calendars, coordinate meetings, and prioritize scheduling for executives. Arrange domestic and international travel, accommodations, and itineraries. Prepare meeting agendas, take minutes, and track follow-up items. Draft, proofread, and edit correspondence, presentations, and reports.
Operational Coordination
Serve as liaison between executives and internal/external stakeholders. Support preparation for board meetings, leadership offsites, and company-wide events. Coordinate cross-functional projects, ensuring deadlines and deliverables are met. Maintain executive files, records, and documentation with confidentiality.
Office & Administrative Management
Oversee expense reporting, invoice processing, and budget tracking for executive team. Manage vendor relationships and assist with contract coordination as needed. Assist with office logistics, including supplies, workspace setup, and meeting support.
Qualifications 5+ years of administrative support experience, with at least 2 years supporting executives or senior leaders. Strong organizational and time management skills with the ability to manage competing priorities. Excellent written and verbal communication skills. Proficiency in Microsoft Office Suite, Google Workspace, and virtual meeting platforms. High level of professionalism, discretion, and integrity. Ability to work independently and anticipate executive needs.
