Office Administrator
Core responsibilities: Cross check clients' attendance in the morning Check case notes from previous day Follow up on new client meetings-call for confirmation one day prior to meeting Input new clients into the database. And a lot of one-off projects like right now we are hiring 5 DSPs, document staff training, Van maintenance scheduling, print reports Office coordination: Overseeing daily office functions, including managing office supplies and inventory, organizing filing systems, and ensuring the workplace is neat and orderly. Communication: Acting as the first point of contact for the company by answering phones, greeting visitors, and handling incoming and outgoing mail and emails. Scheduling and planning: Managing company and staff calendars, scheduling appointments and meetings, and coordinating travel arrangements for executives and other employees. Record keeping: Creating and updating databases for financial records, personnel information, and customer data. They may also process and file invoices and receipts. Support for other departments: Assisting the Human Resources and Finance teams with tasks like employee onboarding, payroll, expense tracking, and other administrative work. Event coordination: Organizing company events, such as meetings, training sessions, and social gatherings. Key skills and qualifications: Organizational skills: Excellent time management and the ability to multitask are critical for prioritizing competing tasks and keeping the office running smoothly. Communication skills: Strong verbal and written communication is necessary for interacting with clients, colleagues, and vendors. Computer literacy: Proficiency with common office software, such as Microsoft Office Suite (Word, Excel, Outlook), is typically required. Familiarity with other management or accounting software can also be a plus. Attention to detail: A keen eye for detail ensures accuracy in administrative and financial tasks, which is crucial for managing documents and schedules. Problem-solving: Office administrators are often the first to respond when an issue arises and must be able to think critically to find a solution. Adaptability: The ability to adjust to new challenges and a constantly changing environment is a key trait for success. Customer service: Strong interpersonal skills and a helpful attitude are essential, as the role often involves dealing directly with clients and staff. Schedule: Monday - Friday (7:30AM - 2:30PM) Pay Rate: $23.50 Compensation / Pay Rate (Up to): $21.00 - $23.50 Per Hour All compensation and pay rates are dependent upon skills and experience.
