Human Resources Primary Purpose:
Provide reception and clerical assistance for the efficient operation of the district office. To assist the Director(s) while ensuring efficiency and organization of the office in a consistent manner. Help facilitate efficient operations, providing clerical support to the Human Resources and Communications departments. Qualifications:
Education/Certification:
High school diploma or GED Notary Public license
Special Knowledge/Skills:
Bilingual Preferred
Ability to operate multi-line phone system
Ability to communicate effectively
Effective organization, communication, and interpersonal skills
Ability to use personal computer and software to develop spreadsheets, databases and do word processing
Proficient in keyboarding, 10-key numerical data entry, and file maintenance
Ability to understand and follow detailed written and verbal instructions
Experience:
Minimum of three years clerical experience, preferably in public education environment
Data processing skills preferred
Customer service experience Major Responsibilities and Duties:
Reception and Phones Answer phones with a professional, positive tone. Route calls or take message as appropriate Greet and direct central office visitors. Maintain visitor log and issue visitor passes. Maintain professional decorum and protect confidentiality of all staff, parents and students. Adhere to time schedules for completing projects. Facilitate, friendly, comfortable working environment Follow good business practices, and provide detailed, accurate work. Maintain professional relationships with staff members and administrators Maintain appropriate business hours, professional dress, language, behavior and work area Maintain office machines and order supplies as needed Receive and disseminate district incoming and outgoing mail Maintain accurate calendar of events and room reservations for district administration building Human Resources
Provide clerical and administrative support to the human resources department Process purchase orders, order and receive supplies for the department Copy, file, and distribute records as assigned Facilitate the process of attending workshops, conferences and travel Assist in keeping accurate records of district employees Help prepare for staff meetings (e.g. making copies, securing room, notifying attendees, etc.) Operate, enter data, and utilize computer management systems as assigned Compile, maintain, and file all reports, records, and other documents as required Complete background checks and maintain accurate records related to district volunteers, classroom observers, student teachers, contracted service agents. Maintain confidentiality at all times The supervisor may assign other duties and accountabilities limited to those consistent with the applicable job function Communications
Process purchase orders, order and receive supplies for the department; Copy, file, and distribute records as assigned; Facilitate the process of attending workshops, conferences and travel; Obtain and maintain notary license with the State of Texas; Examining legal documents to verify completeness; Verifying identities of document signers; Determining the willingness of document signers to prevent fraud; Entering document signing information into a notary journal; Administering oaths and taking acknowledgments; Legally affixing notary seals on completed documents. Assist with department led events and activities as assigned.
