Administrative Assistant - Georgia State University

Location: Atlanta Campus | Shift: 8:30 AM - 5:15 PM | Monday - Friday | Salary: $35,000 | Pay Grade: 9 | FLSA Status: Non-Exempt | Job Type: Full Time (Benefits Eligible)

Overview: The Student Center Administrative Assistant will perform administrative, project and program support to the college and support the business (budget/finance) and Accounting of the department.

Responsibilities

  • Billing for event reservations, long-term rental space, solicitations, building maintenance, property retrieval, etc. Include generating and distributing invoices, updating customer statuses, posting payments, tracking invoice balances, monitoring approved payment plans, responding to client inquiries, and sending reminder and past due notifications.
  • Assist with the administration of the Student Center Discount Ticket Program: ordering tickets, preparing contracts, responding to inquiries, reviewing the discount ticket website for broken links/expired codes, initiating contact with potential new ticket venues, processing vendor payments, completing weekly ticket inventory, resolving discrepancies, communicating updates to the Information Center management team, and preparing ticket closeouts.
  • Prepare, document, and deliver daily revenue deposits from Information Center sales, solicitations, reservations, rental space, maintenance fees, event-related fees, and other revenue streams.
  • Reconcile monthly Visa P-Card statements for departmental expenditures; respond to staff inquiries; ensure requirements are fulfilled; report misuse; prepare historical filings.
  • Update and maintain the employee payroll database, including time sheet data entry and tracking, and reconcile payroll disbursements for full-time, part-time, and student staff.
  • Manage the budget manager monthly report submissions; assist with account tracking, reconciling, and resolving discrepancies; assist in preparing monthly, quarterly, and annual financial statements and reports.
  • Assist with staff trainings and coordinate student assistant trainings, including team builders and icebreakers; present topics to support learning outcomes and professional development; manage training logistics (scheduling, reserving space, preparing agendas, procuring speakers, and creating feedback questionnaires).
  • Track approved Student Activity Fee (SAF) Funding for student reservations and Cinefest Theater student rentals; apply speedtypes to invoices, post payments, and notify groups of any outstanding balances.
  • Post credit card payments for solicitations, event reservations, Cinefest Theater rentals, and other activities from the Student Center/Student Life online stores.
  • Perform other duties related to fiscal management, such as submitting travel expense statements, assisting with petty cash processes, screening contracts, and preparing financial analysis reports.

Qualifications

Minimum Hiring Qualifications: Bachelor’s degree; or a high school diploma or GED with four years of administrative experience; or a combination of education and related experience.

Preferred Hiring Qualifications:

  • Proficiency in Microsoft Excel
  • Experience in Business Administration or Accounting field
