Aurora Water is responsible for enhancing and protecting the quality of life for Aurora citizens by providing quality water, sewer, and stormwater services in a manner that balances social, environmental, and economic needs. Responsibilities and roles within the organization include: operation and maintenance of the water, sewer, and stormwater systems; water purification and reuse water treatment; utility financial monitoring, planning, customer billing, and revenue collection; infrastructure planning and engineering, inspections, and management of the capital improvement program; public information and water conservation; water resources planning, acquisition, and development; permitting, watershed protection, and water and wastewater regulatory compliance; and administration. Provide subject matter/division-specific support for the Water Planning & Engineering Division as well as the Environmental Compliance management team and staff or the Water Supply & Demand Division. Document assistance which includes: Performing document review and QA/QC including formatting, preparing, editing, proof-reading, routing, scanning, indexing, and electronic filing for contracts, memoranda, agreements or other documents and correspondence (including mail and e-mails); ensuring outgoing documents meet Aurora branding standards; routing for signatures; ensuring final documents have all the correct signatures, attachments, exhibits etc. Assist in coordinating with the City Clerk's Office to manage documents needing signatures, filing, inventory etc. Assist in coordinating and supporting Aurora Water activities related to ditch company management Schedule and coordinate external and internal meetings that involve more than 4 people and people from different entities where scheduling is more complicated at the behest of division management and staff which includes: assisting with scheduling and email coordination to find best times for meetings, ordering food as needed, setting up the meeting room as needed, cleaning up after the meeting, creating agendas, attending and taking minutes, as needed Assist division staff in managing SharePoint sites and libraries Assist with mailing including addressing, packing, and mailing envelopes; sorting, scanning and delivering incoming mail. Assist in managing copier, office, and break room supplies. Act as Purchase Card Custodian and assist with reconciliations. Will be required to obtain notary certification within six months of hiring (training paid for by Aurora Water). Perform other duties as assigned An equivalent combination of education, training, and experience that demonstrates required knowledge, skills, and abilities may be considered. High School Diploma or GED Some college preferred Two (2) years of office administrative support experience Knowledge of business English, spelling, and math General office equipment, including personal computers with related software applications MS Office Suite Preferred some knowledge of Colorado Water Law, water rights, contracts, agreements, or similar documents. Ability to establish and maintain effective working relationships with employees and citizens. Communicate clearly and effectively both verbally and in writing Ability to understand oral and written instructions Handle stressful situations with tact and diplomacy Ability to work well under pressure and meet deadlines with little supervision Efficiently and accurately key information using a keyboard and skill in performing data entry. Strong interpersonal, analytical and organizational skills Valid Colorado driver's license with a good driving record Preferred paralegal certification Essential Personnel: When a local announcement of emergency or disaster is declared by the city, all City of Aurora employees may be required to work as essential personnel. Light physical work lifting at least 20 pounds at a time with frequent lifting or carrying of objects weighing up to 10 pounds with or without assistance. Frequent hand/eye coordination for operation of office equipment Vision for reading and interpreting reports and data analysis and preparation Frequent speech communication, hearing and listening to maintain communication with employees and citizens Frequently uses standard office equipment including computer, calculator, multi-line telephones, and copy/fax machines This position may require the incumbent to occasionally use personal equipment (e.g. vehicle, cell phone, tools, etc.) in the course of their employment The City of Aurora is an equal opportunity employer.
