The
Mailroom Associate
will report to the Client Services Supervisor, Client Services Manager, or equivalent leadership. The
Mailroom Associate
is responsible for the efficient handling, processing, and distribution of all incoming and outgoing mail, packages, and office supplies within a corporate environment. This role requires excellent attention to detail, strong organizational skills, and a customer service mindset to support the day-to-day operations of the facility. The position continually aims to provide the highest level of service to all clients and SPS employees while maintaining a professional image by delivering prompt, courteous, and efficient service. Responsibilities Receive, sort, and distribute all incoming mail, packages, and interoffice correspondence in a timely manner. Prepare, package, and process all outgoing mail and shipments using USPS, UPS, FedEx, and other courier services. Maintain accurate tracking logs for packages and deliveries. Operate mailroom equipment, including postage meters, label printers, copiers, and scanners. Monitor and maintain inventory of office supplies, restocking supply closets and distribution points as needed. Assist with conference room setups, office moves, and other facilities support duties when required. Provide exceptional customer service to employees, visitors, and vendors. Ensure compliance with company policies and security procedures for handling confidential documents and packages. Maintain a clean, organized, and safe work area at all times. Perform other duties as assigned by management. Strong verbal and written communication skills. Ability to handle multiple tasks simultaneously. Good organizational skills. Working knowledge of multifunction devices (MFD equipment). Knowledge and understanding of shipping/receiving procedures and ability to comprehend instructions. Ability to work independently and complete projects. Ability to determine correct method and packing material as well as validate packing slips for accuracy of incoming and outgoing materials.
Qualifications and Education Requirements
High school Diploma or equivalent 2+ years' experience in a corporate mailroom or facilities environment Strong customer service skills with a professional demeanor Proficient in Microsoft Office, Outlook, Teams, and standard mailroom software or tracking tools Ability to multitask and prioritize in a fast-paced environment Strong attention to detail and accuracy Team-oriented with excellent communication skills Ability to lift up to 50 pounds and stand for extended periods
