Key Responsibilities include Client & Call Management Serve as the first point of contact for clients, referral partners, and visitors, ensuring a welcoming and professional experience. Answer and direct calls, schedule consultations, and follow up with clients as needed. Provide timely information to callers and help coordinate communication within the firm. Scheduling & Coordination Manage the firm calendar, including attorney appointments, client meetings, and Zoom conferences. Confirm appointments and coordinate logistics across firm locations. Mail & Document Handling Oversee daily mail, including logging, distributing, and preparing outgoing mail. Assist with document preparation, scanning, and filing to support attorneys and paralegals. Notarize and witness documents when required. Office & Administrative Support Maintain office organization, manage supplies, and support day-to-day office operations. Update client information in firm systems and assist with administrative projects as needed.
