Are you a highly organized and detail-oriented individual looking for a rewarding role? We're seeking an experienced Administrative Assistant to join our SGSS team in Alexandria, VA. As a key member of our team, you'll have the opportunity to make a real impact by providing top-notch administrative support to our leaders and teams. This position will be part-time, 24 hours per week, and require being in office Monday-Friday. Your day will be filled with a variety of tasks below: JOB RESPONSIBILITIES Administrative Support: Provide a broad range of administrative support functions that help the team be more productive and efficient. Document Management: Prepare, edit and maintain accurate and up-to-date records, tracking requirements, and generating status reports. Office Coordination: Coordinate meetings, including scheduling and calendar management, attendee management, materials preparation, and follow-up and follow-through. Schedule and monitor office maintenance and cleaning. Event Planning: Assist in coordinating in-office meetings, training sessions, and conferences to include setting up required meals. Government Requirements : Familiarity with the Joint Travel Regulations (JTR) and how they apply to travel expense reporting, as well as DoD contractor requirements. Expense Reporting : Reconcile employee travel expense reports prior to submission for management approval. Monitor monthly account payables, process invoices and miscellaneous expense reports. Supplies Management: Monitor and order office supplies as needed. Ensure office equipment is maintained and serviced. Ensure employee refreshments are replenished as needed. Employee Engagement: Assist with onboarding new employees, to include welcoming them on their first day, preparing and presenting the new hire welcome gift bag. Data Entry: Perform data tasks and maintain databases. Security Administration: Includes assisting with badging, building and office access, and alarm systems. Project management skills and project coordination: Experience sufficient to work independently and execute projects with minimal supervision. Manage processes to drive efficiency in planning, reporting, and communication within the team. Customer Service: Provide outstanding customer service to internal and external stakeholders. Discretion: Act with a high level of integrity; handle confidential and sensitive information with discretion. Additional duties: Perform special assignments and other work on an as-needed basis. REQUIRED SKILLS AND QUALIFICATIONS Must be a US citizen High School Diploma and no less than five (5) years of office administration experience Strong organizational and time management skills Ability to be a self-starter; a team player with the ability to work independently Prior experience working with Department of Defense or government contractors Ability to communicate clearly, succinctly, and effectively, in both verbal and written communication Proficient in MS Office applications (Word, Excel, PowerPoint) ======================================================= SGSS is an equal opportunity employer, and all qualified applicants will receive consideration for employment without regard to race, color, religion, sex, national origin, disability, veteran status or any other protected status.
