Director of People Practice LearningMate seeks an adaptable and proactive Office Administrator to support the management of our Princeton, NJ headquarters. This is a crucial part of our team that serves as the on-site liaison for guests, addressing operational needs while supporting C-Suite executives. S/he may be responsible for meeting coordination, travel planning, expense coordination, greeting guests, and handling office administration to keep our office running smoothly. What You'll Do Perform receptionist duties: greet visitors, and answer and direct phone calls as needed Act as point person for maintenance, mailing, shipping, supplies, equipment, and errands Receive and sort incoming mail and deliveries, and manage outgoing mail Coordinating activities to drive and support company culture, including onsite team meetings and corporate events Secure signatures and handle confidential documents Monitor and maintain (ie: stock) office and kitchen supplies, and research advantageous deals or suppliers Assist with Executive Team Travel (as requested) Provide support for expense reporting Coordinate visitor travel requirements and communications Organize and schedule meetings and appointments as requested Provide other administrative support as necessary, including scheduling group meetings and maintaining calendars Partner with HR to maintain office policies as necessary Coordinate with IT department for office equipment and security, as applicable Who You Are You have experience in an office setting, supporting C-Suite Executives. You possess a high degree of discretion, a high level of professionalism, and a strong sense of urgency. You possess strong computer skills (proficient in PowerPoint, Word and Excel) and can adapt quickly to a changing environment. Proficient in Google Workspace and Gmail. You have a thorough understanding of office management systems and procedures. You have exemplary planning and time management skills. You can handle multiple priorities while maintaining a positive attitude. You welcome change as an opportunity to grow and thrive in an entrepreneurial culture. You take initiative naturally. You are willing to take on new and additional responsibilities quickly. Able to travel domestically, with access to reliable transportation for errands.
