The US Oncology Network is looking for a Medical Administrative Assistant to join our team at Texas Oncology! This position will support the Round Rock location (2410 Round Rock Ave #150 Round Rock, Texas 78681).

This is a full-time Monday–Friday 8:00 am–5:00 pm position with no weekends, call, or major holidays.

This position can be a level 1, 2 or Sr based on candidate experience.

What does the Medical Administrative Assistant do?

Under direct supervision, provides administrative and staff support services for the department. Handles administrative tasks for projects, programs or processes specific to the operating unit served. Keeps records, statistics and files according to standardized procedures and requirements. May be the contact person for information on administrative processes. This is not a secretarial position. Supports and adheres to the US Oncology Compliance Program, to include the Code of Ethics and Business Standards.

Responsibilities

This section describes the essential duties and responsibilities (including but not limited to):

  • Provides administrative support for special projects, including research, data compilation and preparing standard reports.
  • Answers telephones, takes accurate messages, screens and directs calls in a professional manner. Composes, prepares, and proofs correspondence, memos, and reports; maintains confidentiality where required.
  • Handles all administrative details to support programs or processes under the direction of the physician or manager. Includes handling information requests, sending routine letters and inquiries, answering questions, and following up on problems or needed changes.
  • Prepares materials needed by the department relative to processes or programs. Designs, implements, and updates forms for office use by applying knowledge of software applications.
  • Maintains files in an organized and accessible manner, updates information, purges files regularly, and creates new filing systems as needed. Maintains program calendars and schedules meetings and appointments; may coordinate meeting arrangements.
  • May use and maintain databases and online records. Maintains accuracy of hardcopy and online records. May receive invoices, review for accuracy, provide codes for payment or tracking, complete approval documentation, obtain signatures, forward records to accounting for processing, expedite payments and file in the appropriate records system.
  • Maintain and update physicians’ medical licensure, professional certifications, professional liability, board certifications, and curriculum vitae. Maintain and complete health plan contracts (new & reapps) and all hospital appointment applications.
  • Coordinate physician monthly on-call schedule and maintain monthly vacation/time-off and on-call accruals and holiday rotation. Complete and distribute weekly schedules.
  • Handle requests for patient charts and copy pertinent information according to office guidelines. Process extensive and accurate medical transcription to include patient consultations and all notes pertinent to patient treatment as dictated by physician. Type reports, manuscripts and quality assurance records as necessary.
  • Complete patient disability forms when necessary.

Qualifications

The ideal candidate for the Medical Administrative Assistant role will have the following background and experience:

  • High school diploma or equivalent required. An associate’s degree in business, office administration, etc. is preferred.
  • Minimum of three years of office administration experience.
