Administrative Assistant at Maryland Oncology Hematology

Overview

This is a full-time Monday–Friday 8:00 AM–5:00 PM position with no weekends, calls, or major holidays. The level will be 1, 2, or Sr based on candidate experience.

What the Medical Administrative Assistant does

Under direct supervision, provides administrative and staff support services for the department. Handles administrative tasks for projects, programs, or processes specific to the operating unit served. Keeps records, statistics and files according to standardized procedures and requirements. May be the contact person for information on administrative processes. This is not a secretarial position. Supports and adheres to the US Oncology Compliance Program, including the Code of Ethics and Business Standards.

Responsibilities

  • Provides administrative support for special projects, including researching, compiling data, and preparing standard reports.
  • Answers telephones, takes accurate messages, screens and directs calls; composes, prepares, and proofreads correspondence, memos, and reports; maintains confidentiality as required.
  • Supports programs or processes under the direction of the physician or manager, including handling information requests, sending routine letters, inquiries, follow-ups, and changes.
  • Prepares materials needed by the department, designs and updates forms, and applies knowledge of software applications.
  • Maintains organized files, updates information, purges files regularly, and creates new filing systems as needed. Maintains program calendars and schedules meetings and appointments; may make meeting arrangements or coordinate changes.
  • Uses and maintains databases and online records; ensures accuracy of hardcopy and online records. Handles invoices, codes for payment or tracking, completes approval documentation, obtains signatures, and forwards records to accounting as needed.
  • Maintains physicians’ medical licensure, professional certifications, liability coverage, board certifications, and curricula vitae. Manages health plan contracts (new & reapps) and hospital appointment applications.
  • Coordinates physician monthly on-call schedules and maintains vacation/time-off, on-call accruals, and holiday rotations; completes and distributes weekly schedules.
  • Handles requests for patient charts and copies pertinent information per office guidelines. Performs medical transcription for patient consultations and notes related to patient treatment as dictated by the physician; types reports, manuscripts, and quality assurance records as needed.
  • Completes patient disability forms when necessary.

Qualifications

The ideal candidate will have the following background and experience:

  • High school diploma or equivalent required. An associate degree in business, office administration, or related field is preferred.
  • Minimum of three years of office administration experience.

Requires eye-hand coordination and manual dexterity to operate a keyboard, photocopier, telephone, calculator, and other office equipment. Requires normal range of hearing and vision correctable to 20/20. Requires occasional lifting of up to 30 pounds.
