Overview

Administrative Assistant role at City of Atlanta. Salary Range: $40,945.05-$61,417.57. Position expires: 9/19/2025. General description includes proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); maintaining electronic records systems; supporting professional interactions with internal staff, external partners, and the public; assisting with planning and coordination of office functions, outreach events, and meeting logistics.

Responsibilities

  • Provide varied administrative and clerical services to The Mayor’s Office of Contract Compliance, including preparing, reviewing, distributing, and filing routine correspondence, memoranda, letters, and reports; attend staff and other meetings and take notes or minutes.
  • Plan and coordinate meetings within the department or across departments; assist with coordinating outreach events; carry out special projects of an administrative or office operations nature.
  • Answer calls and respond to general phone, email, or written inquiries; greet and assist visitors; relay messages; receive, process, and distribute mail; maintain department records and files.
  • Coordinate calendar on behalf of OCC staff, including scheduling appointments, meetings, and interviews; update calendars regularly; contact involved parties as appropriate.
  • Prepare routine correspondence, letters, memoranda, applications, reports, and other documents; collect, bind, and store computer-generated reports; transcribe notes from meetings into prescribed format.
  • Prepare budget documents as directed and support budget preparation; complete requisitions for purchases and submit for appropriate approval; identify equipment or office material deficiencies and initiate repair or replacement requests.

Qualifications

  • Minimum Qualifications – Education and Experience: A high school diploma or GED and 1-3 years of progressively responsible secretarial, clerical, or general administrative experience are required.
  • Preferred Education & Experience: Associate degree in secretarial science, business/public administration, or related field and 3-5 years of secretarial, clerical, or general administrative and supervisory experience are preferred; strong proficiency in Microsoft Office Suite, advanced computer literacy, and effective interpersonal communication; demonstrated ability in records management and event coordination.
  • Licensures and Certifications: None required.

Essential Capabilities And Work Environment

Physical, lifting, and sensory capabilities are required to perform the job successfully. Must be able to spend long hours at a computer and in an office setting.
