Administrative Assistant/Recruiting Coordinator at Modern Woodmen of America
We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties include providing direct support to Financial Representative Marty Dodge, providing customer service needs, scheduling of annual review and initial meetings. The role requires management of internal and external communications, including updating social media through a proprietary platform.
Part-time – 15 to 20 hours/week; flexible scheduling
Compensation - $20/hour

Responsibilities
- Manages day-to-day office operations and communications to ensure a smooth and efficient workflow
- Greet and provide hospitality to office visitors, ensuring a welcoming atmosphere
- Manages mail, package deliveries, email, letters, faxes, and forms
- Prepares forms, reports, lists, and database entries
- Manage inbound and outbound calls to organizations’ members and Home Office
- Manage meeting schedule and members’ service appointments
- Manage social media campaigns, text reminders and replies
- Must maintain confidentiality, adhering to compliance and information security guidelines
- Other duties as assigned
Fraternal Support
- Assists with coordination of Fraternal activities, coordinating with current Fraternal Chapter leaders
- Manage Fraternal Chapter budget(s), schedules, communications with members, chapter leaders, and Home Office
- Will have the option to enroll as volunteer Fraternal Chapter Leader, supporting the needs of the Chapter(s). You will then have the opportunity to:
- Organize and attend community outreach opportunities for each Fraternal Chapter managed
- Receive a per activity stipend, provided monthly per Fraternal Chapter
Skills
- Knowledge of office management systems and procedures
- Proficiency in MS Office (MS Word and MS Excel, Experience with MS Dynamics preferred)
- Excellent time management skills with ability to manage competing priorities
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills; Some Data analysis skills preferred
- Strong organizational skills with the ability to multi-task
Requirements
- Must have high school diploma or equivalent; Some college preferred
- Authorized to work in the United States; No need of visa sponsorship
- Pass background check
