Job Summary

We are seeking a highly organized and experienced Office Assistant to support our program operations. This role is responsible for overseeing medical records and assisting with a variety of administrative and facility management functions, including payroll processing, accounts receivable, supply management, and IT tracking. The Office Assistant plays a crucial role in ensuring the smooth day-to-day functioning of the program while maintaining compliance with operational procedures.

Key Responsibilities Provide technical support to staff regarding payroll, travel expenses, purchasing, record keeping, and personnel policies Process payroll for assigned program(s) Handle accounts receivable and payable functions Maintain an up-to-date IT inventory list for the program(s) Manage all aspects of front desk administration, including phone systems and correspondence Orient new employees on office procedures, IT needs, safety protocols, and access logistics Oversee and maintain medical records in accordance with program regulations Coordinate incoming and outgoing mail and patient-related correspondence Monitor and address physical site needs (e.g., maintenance, IT, office machines, and supplies) Collaborate with departments to meet licensing and compliance requirements (e.g., occupancy certificates) Prepare and follow up on work orders related to facilities or IT in coordination with appropriate teams

Required Qualificatio ns High school diploma or GED required Minimum of 3 years of experience in a related administrative or office support role Strong experience in payroll processing and accounts receivable/payable Previous front desk and administrative support experience Ability to manage multiple tasks in a fast-paced environment with strong attention to detail Excellent communication and organizational skills

Preferred Qualificati ons Familiarity with facility coordination or project support Experience collaborating across departments or with compliance teams
