Job Summary

We are seeking a highly organized and experienced Office Assistant to support our program operations. This role is responsible for overseeing medical records and assisting with a variety of administrative and facility management functions, including payroll processing, accounts receivable, supply management, and IT tracking. The Office Assistant plays a crucial role in ensuring the smooth day-to-day functioning of the program while maintaining compliance with operational procedures.

Key Responsibilities
  • Provide technical support to staff regarding payroll, travel expenses, purchasing, record keeping, and personnel policies
  • Process payroll for assigned program(s)
  • Handle accounts receivable and payable functions
  • Maintain an up-to-date IT inventory list for the program(s)
  • Manage all aspects of front desk administration, including phone systems and correspondence
  • Orient new employees on office procedures, IT needs, safety protocols, and access logistics
  • Oversee and maintain medical records in accordance with program regulations
  • Coordinate incoming and outgoing mail and patient-related correspondence
  • Monitor and address physical site needs (e.g., maintenance, IT, office machines, and supplies)
  • Collaborate with departments to meet licensing and compliance requirements (e.g., occupancy certificates)
  • Prepare and follow up on work orders related to facilities or IT in coordination with appropriate teams


  • Required Qualifications
  • High school diploma or GED required
  • Minimum of 3 years of experience in a related administrative or office support role
  • Strong experience in payroll processing and accounts receivable/payable
  • Previous front desk and administrative support experience
  • Ability to manage multiple tasks in a fast-paced environment with strong attention to detail
  • Excellent communication and organizational skills


  • Preferred Qualifications
  • Familiarity with facility coordination or project support
  • Experience collaborating across departments or with compliance teams
