Overview
This is a 9-12 month contract reporting to the Director of US Oncology Portfolio Marketing at EMD Serono. The Operations Specialist of US Oncology Portfolio Marketing will lead and manage key marketing operations critical to the success of the US Oncology Business Unit. Location: On-site 1 day/week in our Boston Seaport Office, located at 200 Pier 4, Seaport Blvd. Responsibilities
Sponsorship Management: Oversee end-to-end sponsorship payment processing for field exhibits, state society membership and marketing sponsorships, utilizing purchase orders and corporate meeting cards in alignment with compliance and finance protocols. Serve as the primary point of contact for field representatives and associations, providing timely updates on payment status and ensuring seamless communication and support. Lead the onboarding and setup of new vendors within internal finance systems, ensuring timely activation and adherence to procurement guidelines. Proactively investigate and resolve payment discrepancies or delays, partnering with finance, procurement, and external vendors as needed. Manage sponsorship-related budget lines, ensuring accurate reconciliation and tracking of expenses monthly, including weekly expense report submissions, to support fiscal transparency and forecasting. Design and deliver monthly financial and operational reporting and dashboard for leadership, offering insights into area trends and budget alignment. Partner with IQVIA Coordinator on answering system and process questions for the field representatives. US Oncology Internal SharePoint Site: Oversee the SharePoint Site content, ensuring it is current, accurate, and engaging. Continuously update and improve site functionalities to enhance user experience and accessibility. Effectively communicate the availability and benefits of SharePoint resources to the US Oncology Therapeutic Area (TA) team. US Oncology Commercial Onboarding and Offboarding: Manage onboarding and offboarding tasks including but not limited to internal notifications of employee status changes, rewards portal set-up, distribution list management, headshot repository, commercial team roster and org chart updates, print and fulfillment account set-up, sponsorship portal access, field exhibit kit shipment. Required Qualifications
Bachelor\'s Degree Required Minimum of three-five (3-5) years’ experience in pharmaceutical or biotech industry with experience in marketing operations. Proven project and vendor management skills including budget management, planning, prioritization, objective setting, and logistics execution. Proven ability to collaborate with cross-functional teams. Experience and proficiency in managing multiple projects with diverse internal and external stakeholders. Ability to develop creative approaches to accomplish work/problem solve. Strong organizational and communication skills, both written and verbal. Strong attention to detail and the ability to multi-task in fast paced environment. Strong interpersonal and influencing skills. Positive attitude, energetic and proactive. Proficiency in MS Teams, Outlook, Word, Excel, PowerPoint, SAP, Ariba, Concur, SharePoint, and Smartsheet; and aptitude to learn new software as required. Equal Employment Opportunity
