We are seeking a highly organized and professional Executive Administrative Assistant to support senior team members while also assisting with reception and operational responsibilities in the New York office, for a financial services client. The ideal candidate will thrive in a fast-paced environment, balancing complex schedules, travel coordination, and administrative tasks with discretion and efficiency.

Key Responsibilities:

  • Provide seamless administrative support to professionals across varying seniority levels
  • Manage complex calendars and coordinate meetings across multiple time zones
  • Coordinate domestic and international travel, preparing detailed itineraries and tracking changes
  • Process expenses, payments, and itinerary adjustments with accuracy and timeliness
  • Handle incoming mail, email, correspondence, and confidential requests with sound judgment
  • Provide phone and inbox coverage for team members and EA colleagues as needed
  • Serve as a liaison with internal departments, external vendors, and business contacts
  • Assist with office events, team functions, and reception/visitor management
  • Manage sensitive documents, presentations, and multi-party signature requests

Qualifications:

  • 3–5+ years of executive assistant or office administration experience (financial services industry preferred)
  • Demonstrated ability to support multiple senior leaders simultaneously
  • Proficiency in Microsoft Outlook, Excel, Word, and PowerPoint
  • Exceptional organizational skills with strong attention to detail
  • Excellent written and verbal communication abilities
  • Professional, discreet, and capable of managing confidential information
  • Team-oriented with a proactive, solutions-focused mindset
