This is accomplished by answering and screening calls; directing callers and visitors; completing routine clerical tasks; preparing meeting and agenda materials; processing documents and requests; maintaining office supplies and inventories; making travel arrangements; working with vendors; distributing mail; and maintaining records. Other duties may include scheduling and coordinating meetings and events; completing records retention activities and participating in the budget process.

Specific Duties and Responsibilities

Provides receptionist support to the assigned department by receiving and screening calls; providing answers and assistance to citizens; greeting and directing callers and visitors; receiving complaints and routing them to the appropriate person or department; completing inventories and office supply orders; processing mail; and completing payment requests. Processes requests by receiving, reviewing and completing documents or requests for payment; working with vendors; taking and processing information and documents from citizens and staff; gathering information from employees both within and outside the department; scheduling meetings; and completing and preparing agendas or documents for meetings. Coordinates events and meetings by scheduling dates; working with and scheduling vendors; ordering food and supplies, setting up and breaking down rooms; and preparing and distributing materials and agendas. Reviews and maintains information by entering data and requests; reviewing information; researching and responding to requests for documents; ensuring confidentiality; processing or retrieving documents, permits, rentals, or other information; and conferring with other staff or departments. Qualifications

High School graduation or equivalent Three (3) years of experience in the administrative support of a department Supplemental Information

Ability to effectively communicate, both verbally and in writing, with co-workers, the public, and elected and appointed officials Ability to count monies and process payments Skill in the operation and use of standard office software which includes databases and presentation programs, along with standard Microsoft products
