The HR Coordinator provides administrative and operational support to the Human Resources team, ensuring smooth execution of HR processes for both shoreside staff and vessel-based mariners. This role is responsible for maintaining accurate employee records, coordinating recruiting and onboarding, supporting compliance with U.S. Coast Guard (USCG), DOT, and other regulatory requirements, and assisting with employee relations. The HR Coordinator serves as a key point of contact for employees, ensuring confidentiality and professionalism while supporting the company's operational and cultural goals.
Essential Responsibilities: Post job openings for shoreside and vessel-based positions and coordinate with recruiters on candidate pipelines. Schedule interviews and maintain candidate communication. Prepare offer letters, pre-employment screening packets, and ensure completion of background checks, physicals, and drug/alcohol testing in line with USCG/DOT requirements. Conduct and support new hire orientation for mariners and shore staff, ensuring proper documentation and credential verification. Maintain HRIS and personnel files, including mariner credentials, medical certificates, licenses, and training records. Ensure company policies and procedures are communicated and consistently applied across both shoreside and vessel-based teams. Serve as a point of contact for HR-related inquiries, escalating complex matters to HR Managers. Provide support for employee relations, disciplinary actions, and investigations as directed. Assist in organizing employee recognition programs, training sessions, and cultural engagement initiatives. Assist employees with benefits enrollment, changes, and questions regarding medical, retirement, and leave programs. Coordinate with payroll to ensure timely processing of new hires, transfers, and terminations. Support leave administration, including FMLA, disability, and leave requests. Perform other assignments as required. Minimum Educational and Job Qualifications:
High school diploma required; associate's degree preferred. 0-2 years of HR, office administration, or related experience. Basic understanding of HR functions and employment laws preferred; willingness to learn maritime-specific compliance requirements. Proficiency in Microsoft Office Suite; experience with HRIS systems helpful. Good organizational skills and attention to detail. Ability to communicate effectively and provide customer service. Confidentiality and professionalism. Ability to explain basic HR facts, policies, and practices. Organization and time management skills. Willingness to learn and work under close supervision.
