Located in Manhattan, The New York Proton Center (NYPC) is a collaboration between Memorial Sloan Kettering Cancer Center, Montefiore Medical Center and Mount Sinai Health System bringing state of the art proton therapy treatment to the patients of New York and the surrounding areas. Base pay range: $26.50/hr - $31.50/hr. This range is provided by New York Proton Center. Your actual pay will be based on your skills and experience — talk with your recruiter to learn more.

Position

Administrative Assistant – The Administrative Assistant will take direction from the Clinical Administrative Manager and Director of Clinical Services to provide administrative support to the clinical divisions of The New York Proton Center. Responsibilities include generation of reports, management of department processes, coordination of conference calls and meetings, travel arrangements, records retention and file management, ordering and managing departmental supplies, expense report reconciliation, training class support, and general staff support. The role requires collaboration, good judgment, initiative, and strong written and verbal communication skills, as many tasks are performed independently.

Responsibilities

  • Provide general clinical administrative support, including scheduling, mailing, scanning, faxing and copying
  • Assist with planning company events, meetings, and employee team-building activities or special projects
  • Attend and participate in select clinical leadership team meetings; prepare meeting materials, take confidential minutes, track assignments, and follow up on actions
  • Prepare and modify documents, including correspondence, reports, drafts, memos and emails
  • Answer, screen and transfer inbound phone calls
  • Maintain supply inventory; anticipate needed supplies; place and expedite orders; verify receipt
  • Manage conference room reservations and organize all aspects for meetings
  • Assist in resolving administrative problems
  • Comply with NYPC policies related to HIPAA privacy rules
  • Perform other job-related duties as assigned

Qualifications

  • High school diploma or equivalent, required
  • Minimum of 2 years medical office or clinical environment experience, preferred
  • Proven work experience as an Office Assistant or comparable position
  • Hands-on experience with MS Office
  • Working knowledge of office equipment (printers, fax machines)
  • Strong written and verbal communication skills
  • Attention to detail and problem-solving skills
