POSITION OVERVIEW

We are seeking a reliable and detail-oriented Administrative Assistant to support the daily operations of our office. This position plays a key role in maintaining a well-organized, efficient, and welcoming work environment. The ideal candidate is proactive, organized, and enjoys supporting a team through a variety of administrative and clerical tasks.

DUTIES & RESPONSIBILITIES

  • Monitor cleanliness and organization of common areas.
  • Answer and direct incoming phone calls professionally and courteously.
  • Greet visitors and facilitate front-office processes.
  • Maintain inventory of office supplies; place orders as needed.
  • Order groceries and lunches for employees according to schedules and preferences.
  • Prepare and ship packages; coordinate with delivery services.
  • Coordinate with vendors and service providers for office needs.
  • Print, assemble, and distribute deliverables and documents.
  • Assist in filing, scanning, and organizing digital and physical documents.
  • Handle routine communications: draft emails, respond to general inquiries, and manage follow-ups with vendors or clients as needed.
  • Support the Marketing Coordinator by proofreading documents, uploading information to Mailchimp, monitoring CRM and contact lists, and organizing shared folders for marketing assets.
  • Support internal communications and distribute memos or updates as necessary.
  • Perform additional administrative tasks as assigned.

SKILLS & QUALIFICATIONS

  • High school diploma or equivalent required; associate degree preferred.
  • 1+ years of experience in an administrative or office support role preferred.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams).
  • Ability to handle multiple tasks and prioritize effectively.
  • Professional demeanor and customer service orientation.
  • Comfortable working independently and as part of a team.
  • A successful background check required prior to employment.

COMPENSATION & BENEFITS

  • Competitive hourly pay: $18.00 – $22.00 per hour (dependent on experience)
