Overview
The Administrative Assistant provides general office administrative support. The position will be responsible for providing administrative and clerical services to ensure effective and efficient operations. The individual will coordinate daily office activities, answer calls, file and organize company files, relay information to management and will assist with various other company operations.
Essential Duties and Responsibilities
- Performs job in accordance with Company Mission, vision and goals.
- Organizes and audits company operations files
- Adheres to all company policies and regulations regarding confidentiality
- Answers calls and directs calls to the appropriate parties; taking messages as needed
- Creates and organizes meeting agendas
- Performs general office duties such as ordering supplies, printing, faxing, scanning, etc.
- Effectively communicates with vendors and patients
- Organizes and distributes materials and supplies across various departments and locations
- Provides support with event and meeting preparation
- Partners with the recruiting/HR team to assist, as needed, in coordinating onboarding for new employees within the operations department
- Creates, manages and delivers reports as needed
- Fills in for other departments (i.e.: scheduling, call center, marketing & sales, etc.)
- Independently answers routine correspondence and effectively manages priorities of work to be completed
- Identifies problem areas and requests assistance with priorities as needed
- Checks work e-mail on a regular basis throughout the workday.
- Participate in and complete all required trainings and in-services.
- Other duties as assigned.
Minimum Qualifications
- High School Diploma, or equivalent.
- Two (2) years' related administrative support experience.
- Must have knowledge of Internet and Microsoft Office software (MS Word, MS Excel, MS PowerPoint, MS Outlook).
- Must have excellent written and oral communication skills, including exceptional customer service.
- Must be able to establish and maintain effective working relationships with doctors, clinical staff, other co-workers and the public.
- Must be able to work individually as well as within a team.
- Must be able to follow both verbal and written instructions.
- Must be able to work a flexible schedule.
- Must be able to multi-task and prioritize.
- Must demonstrate extreme attention to detail.
- Must possess strong organization skills.
- Must be able to problem solve and use reasoning.
- Must be able to meet predefined quality standards.
- Must maintain and project a professional attitude and appearance at all time.

Preferred Qualifications
- Two (2) years of related experience in a healthcare setting.
Driving/Travel
The employee must have reliable transportation. Travel for this position will be required up to 60%. While the primary workplace may be closest to the employee’s home, work assignments could be in any of the Company’s locations.
