Your Role as an Administrative Assistant

  • Answer phones in a professional manner and direct calls to appropriate departments
  • Maintain positive and professional staff and client relationships
  • Manage communication information with parents, staff, and industry professionals
  • Manage communication in The Learning Spectrum organization office; by letters, emails, faxes, making copies, etc. (paper and electronic); and prepare outgoing mail/packages as needed
  • Coordinate and manage delivery of documents/materials as needed for school districts
  • Manage paper and electronic filing systems for staff and students to support ODE file regulations
  • Prepare materials such as binders and presentation printouts
  • Order, maintain, and distribute supplies
  • Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories if needed
  • Attend meetings as necessary
  • Maintain a neat, clean, and organized office space
  • Review and apply all company handbook policies and procedures
  • Assist with arrival and departure routines and maintain sign in/out log sheet
  • Regularly update and manage student rosters and spreadsheets to capture changes, additions, and corrections effectively
  • Maintain accurate and timely data in PowerSchool, oversee attendance tracking in line with ODE requirements, update progress reports, and provide support for teachers and directors
  • Assist in coordinating school events with the Sunshine Committee and PTO
  • Capture and share school highlights via social media platforms to support community engagement
  • Coordinate and document monthly safety drills and inspections
  • Perform any other reasonable duties as required
