Key Responsibilities
- Client & Call Management: Serve as the first point of contact for clients, referral partners, and visitors, ensuring a welcoming and professional experience; answer and direct calls, schedule consultations, and follow up with clients as needed; provide timely information to callers and help coordinate communication within the firm.
- Scheduling & Coordination: Manage the firm calendar, including attorney appointments, client meetings, and Zoom conferences; confirm appointments and coordinate logistics across firm locations.
- Mail & Document Handling: Oversee daily mail, including logging, distributing, and preparing outgoing mail; assist with document preparation, scanning, and filing to support attorneys and paralegals; notarize and witness documents when required.
- Office & Administrative Support: Maintain office organization, manage supplies, and support day-to-day office operations; update client information in firm systems and assist with administrative projects as needed.
