Position Overview
As the Executive Personal Assistant, you will provide high-level administrative and personal support to the Company President ensuring smooth day-to-day operations. You will act as a trusted gatekeeper, managing communications, travel, scheduling, and special projects with a high degree of professionalism, discretion, and autonomy. The ideal candidate is detail-oriented, proactive, and able to manage multiple priorities with discretion and efficiency.
Key Responsibilities Manage and maintain schedules, appointments, and meetings Coordinate travel arrangements, including flights, accommodations, passports/visas, and itineraries Screen and manage incoming communications (calls, emails, mail) Prepare reports, presentations, and confidential documents Assist with personal tasks and errands as needed (e.g., reservations, gift purchasing, family coordination) Plan and execute events, meetings, and offsites Anticipate executive’s needs and proactively resolve issues Handle expense reporting and basic bookkeeping Assist with document preparation, email management, and data entry Organize files, records, and correspondence (both physical and digital) Run occasional personal errands and assist with household/vendor coordination Liaise with internal departments and external vendors on behalf of the executive Prioritize tasks and follow up to ensure timely completion Maintain strict confidentiality at all times
Qualifications ~5+ years of experience supporting C-level executives in a fast-paced environment ~ Exceptional organizational and time-management skills ~ High level of discretion, integrity, and confidentiality ~ Strong communication and interpersonal skills ~ Tech-savvy and proficient in Microsoft Office, Google Workspace, and scheduling/travel tools ~ Ability to multitask and adapt quickly to changing priorities ~ Bachelor’s degree or relevant certifications preferred ~ Notary Public
