What we are looking for
We are seeking a highly organized and proactive
Office Manager – Administration
to support our Leaders and oversee day-to-day administrative operations. The ideal candidate will possess exceptional organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. This role is crucial in ensuring the smooth functioning of our offices, providing high-level administrative support, and contributing to the overall success of our organization What you will do Oversee administrative operations for the executive office, ensuring smooth day-to-day functioning. Manage schedules and coordinate meetings for leaders. Maintain organized filing systems for documents and records. Handle administrative tasks including data entry, correspondence, and document preparation. Utilize QuickBooks for basic financial tracking and reporting. Proofread documents for accuracy and clarity before distribution. Proficiently use Google Suite applications to create presentations, spreadsheets, and reports. Manage office needs for both the New Jersey and Boston offices. Demonstrate strong computer literacy to navigate various software tools effectively. Assist in event planning, coordinating logistics for meetings, conferences, and team-building activities. Willing to travel to the Boston office once a month. Must Have: Proven experience as an Office Manager, Administrative Manager, or in a similar administrative role is preferred. Familiarity with office administration and facilities management responsibilities is a plus. Strong organizational skills with attention to detail and the ability to prioritize tasks effectively. Excellent written and verbal communication skills are essential. • Experience with QuickBooks or similar financial software is beneficial but not required. A proactive approach to problem-solving with strong decision-making capabilities. Ability to work independently as well as part of a team in a fast-paced environment.
