Executive Assistant – Finance & Construction Project Support

We are seeking an experienced
Executive Assistant with a strong finance and accounting background
to support our leadership team. This role requires a detail-oriented professional who can manage executive administrative tasks while also providing hands-on support with
construction project financials, job costing, and budget management . The ideal candidate is highly organized, financially savvy, and able to bridge the gap between project management and accounting functions.
Key Responsibilities
Provide executive-level administrative support, including scheduling, correspondence, and document management. Take ownership of
financial tracking and reporting
for construction projects, including job cost accounting, forecasting, and variance analysis. Process, review, and reconcile
invoices, payments, and contracts , ensuring accuracy and timeliness. Prepare monthly, quarterly, and ad hoc
financial reports and project dashboards
for leadership review. Support construction project management through budget monitoring, change order documentation, and financial oversight. Coordinate with vendors, contractors, architects, and clients to ensure financial and contractual requirements are met. Assist in compliance, permitting, and financial documentation required for audits and reporting. Maintain highly organized digital and physical files for both financial and project records. Anticipate executive needs and provide proactive, solutions-oriented support.
Qualifications Bachelor’s degree in Finance, Accounting, or related field (or equivalent experience required). 3+ years of professional experience in
accounting, finance, or financial operations , ideally within construction, real estate, or related industries. Strong understanding of
budgeting, job costing, and financial reporting . Proficiency in Microsoft Excel (advanced functions required); experience with accounting/project software a plus (e.g., QuickBooks, Sage, Procore, Buildertrend). Exceptional organizational skills, attention to detail, and ability to prioritize multiple tasks. Strong communication and interpersonal skills, with the ability to work effectively across teams and with external partners. Proven ability to maintain discretion and confidentiality with sensitive information.
