OM Financial Group, a rapidly growing financial services firm located in Boston, is looking for a motivated and experienced Executive Assistant to the CEO. Candidate is expected to be a highly organized multitasker with strong attention to detail who can quickly pivot and possesses a willingness to take ownership of their responsibilities. This will be an in-person role based out of our Boston office.
Responsibilities
Act as primary contact for day-to-day internal and external needs related to the CEO and independently and professionally resolve requests while maintaining a positive and proactive attitude
Research, prioritize, and follow-up on incoming issues and concerns addressed to the CEO through email, mail, phone calls, or verbally, including those of a confidential and critical nature
Exercise independent judgment and initiative when responding to internal and external inquiries, orally, or in writing by email, or otherwise
Acting on behalf of the CEO, prioritize conflicting needs and independently determine the appropriate course of action to ensure smooth operations
Proactive calendar management for the CEO to maximize time management and meeting effectiveness while keeping the CEO well informed and prepared for upcoming commitments, responsibilities, and meetings
Coordinate complex travel arrangements for the CEO and assist in managing agenda and logistics for high level meetings and company events
Follow-up on relationships established by the CEO to cultivate connections and work with the CEO to establish outreach opportunities
Manage the CEO’s correspondence, including email, mail, and phone calls
Prepare agendas, presentations, reports, and documents while assuming ownership of maintaining executive project management software with a focus on accuracy and efficiency
Oversee and submit the CEO expense reports in a timely and accurate manner
Manage time to be effectively responsive and adaptive to the daily needs of the company
Collaborate with internal teams to ensure business needs are met and expectations are exceeded
Assist in providing backup coverage to additional departments and roles as needed
Other projects and duties as assigned
Qualifications
3+ years of experience as an Executive Assistant to director level or above, preferably at least 1 year directly supporting a C-suite executive
Flexible schedule to support a high-level executive
Strong proficiency in computer literacy, especially with Microsoft Office Suite
Experience with project management or task management software
Ability to travel with executive to conferences, meetings, and events as needed
Capable of making independent and proactive decisions while managing multiple priorities in a fast-paced setting while staying composed under pressure
Energetic self-starter who is capable of taking initiative with outstanding written and verbal communication skills
Ability to maintain highest level of professionalism and confidentiality in handling sensitive information
Excellent organizational, interpersonal, research, and time management skills
Ability to work in a team environment with a positive, professional, and flexible attitude
