Reporting to: Director, Talent Acquisition

Position Summary We’re looking for a detail-oriented and proactive Talent Acquisition Specialist who is passionate about delivering a great candidate experience while also playing an active role in building our talent pipelines. This role combines coordination excellence with hands-on sourcing to help us attract and hire top talent.
As part of the Talent Acquisition team, you’ll manage scheduling and logistics for interviews, support hiring managers throughout the process, manage new hire onboarding, proactively identify and engage potential candidates across a variety of roles, and contribute to the company’s employer branding and talent marketing efforts. Key Responsibilities
Candidate Experience & Stakeholder Management
Manage interview scheduling, candidate communications, and logistics across multiple time zones.
Ensure candidates have a smooth, professional, and positive experience from application to first day.
Partner with recruiters and hiring managers to ensure timely feedback and process alignment.
Proactively source candidates using LinkedIn, job boards, networking, and other creative channels.
Build and maintain talent pools for key roles and future hiring needs.
Conduct initial outreach and pre-screen conversations with potential candidates.
Support pre-boarding activities, including background checks, worker authorization, and paperwork coordination.
Partner with P&C and hiring managers to create a welcoming first-day experience for new employees.
Coordinate orientation schedules, technology/equipment requests, and introductions.
Serve as a friendly point of contact for new hires, ensuring they feel supported throughout their transition into the company.
Employer Branding & Talent Marketing
Manage and grow the company’s presence on platforms like LinkedIn and Glassdoor to attract top talent.
Collaborate with Marketing/Creative and People & Culture teams to create engaging content that showcases company culture, employee stories, and open opportunities.
Track and analyze employer branding efforts to continuously improve engagement and reach.
Process & Systems
Maintain accurate data in the Applicant Tracking System (ATS).
Support reporting on hiring metrics and pipeline activity.
Contribute to process improvements that enhance efficiency and candidate experience.
Qualifications
1–3 years of experience in recruiting coordination, HR, or related roles.
Hands-on experience sourcing candidates through LinkedIn Recruiter, Boolean search, or similar tools.
Strong organizational skills and ability to juggle multiple priorities in a fast-paced environment.
Ability to partner with executive admins to coordinate interview logistics for leadership positions.
Excellent written and verbal communication skills.
A collaborative, can-do attitude and genuine interest in building strong relationships.
Comfort with ATS platforms (e.g., UKG) is a plus.
