Executive Assistant / Personal Assistant

to provide comprehensive support to the Chief Operating Officer (COO). This individual will serve as a trusted partner, managing both professional and personal responsibilities to ensure the COO’s time is optimized and daily operations run smoothly. The ideal candidate will be detail-oriented, adaptable, and capable of anticipating needs in a dynamic and fast-paced environment.

Key Responsibilities Executive Support Manage the COO’s calendar, schedule meetings, and coordinate travel arrangements Prepare agendas, presentations, and meeting materials; take and distribute notes as needed Track and follow up on action items, ensuring deadlines are met Assist with communications—draft emails, correspondence, and reports on behalf of the COO Handle confidential information with discretion and professionalism Personal Assistant Duties Assist with personal scheduling and family-related logistics as needed Coordinate personal travel, reservations, and errands Manage household vendors, service providers, and special projects on behalf of the COO Operational & Administrative Support Liaise with internal leadership teams to streamline operations and communication Support expense reporting, budgeting, and invoice management Research and prepare information for projects, presentations, and decision-making Act as gatekeeper and representative of the COO in interactions with employees, clients, and external partners Qualifications 5+ years of experience as an Executive Assistant, Personal Assistant, or similar role supporting C-Suite leadership Strong organizational and time management skills with the ability to multitask and prioritize Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with collaboration tools (Teams, Zoom, etc.) Excellent written and verbal communication skills High level of discretion, integrity, and professionalism Flexible, resourceful, and solution-oriented Experience handling both corporate and personal assistant duties a strong plus
