Executive Assistant to the CEO

About the Executive Assistant Role Client is seeking a bright, energetic, highly organized and resourceful Executive Assistant to partner directly with our CEO and help drive the company forward. The Executive Assistant will play a critical role in maximizing the CEO’s productivity, ensuring priorities are executed, and supporting both internal and external communications. This person will participate in high-level calls and meetings, capture and track key takeaways, manage the CEO’s calendar and inbox, prepare presentations, and coordinate follow-ups with investors, stakeholders, and team members. The ideal candidate is detail-obsessed, proactive, and a clear communicator who thrives in a dynamic startup environment with the ability to “manage up.”
Essential Roles & Responsibilities -Act as a strategic partner to the CEO, managing priorities and anticipating needs. -Attend calls and meetings to take meticulous notes, track action items, and ensure timely follow-ups. -Manage the CEO’s calendar and inbox with precision and discretion. -Draft, edit, and send professional correspondence on behalf of the CEO. -Prepare presentations, reports, and other outbound communications for investors, stakeholders, and partners. -Coordinate with internal teams to ensure alignment and timely execution of deliverables. -Manage all types of daily correspondence to ensure professional, accurate, and timely responses with utmost care for confidential information. -Research, edit and prepare documents for review and presentation. -Translate complex information into clear, professional, and concise written communications. -Use graphic tools to design visually engaging documents that align with company branding. -Summarize and distill large volumes of data into simple, visual formats. -Gather, interpret, and synthesize information from various sources to create cohesive storylines. - Graphically proficient and concise -Respond to requests for materials regarding the CEO and the organization. - Protect the CEO’s time by filtering requests, triaging communications, and maintaining strong organization systems. -Assist with ad-hoc projects as necessary to support the broader organization. -Handle confidential information with the highest level of integrity. -Manage personal scheduling, travel, and logistics for the CEO. -Coordinate reservations, events, and household/vendor communications as needed. -Ensure smooth balance of personal and professional obligations.
Qualifications -2+ years of experience as an Executive Assistant, Chief of Staff, or similar role supporting senior leadership (startup or high-growth company experience strongly preferred). -A Bachelor’s Degree in Communication or Journalism (preferred) -Exceptional verbal and written communication skills; able to represent the CEO with professionalism and clarity. -Highly organized, detail-oriented, and process-driven. -Willingness to manage a broad range of tasks, work well under pressure while maintaining a big-picture mentality -Confidence working within a shifting, fast-paced environment with strong decision-making capability. -Strong problem-solving skills with the ability to anticipate needs and act proactively. -Advanced proficiency with tools such as Google Workspace, Microsoft Office, and productivity/project management software (e.g., Slack, Asana, Notion). -Ability to thrive in a fast-paced, ambiguous environment while balancing multiple priorities. -High level of discretion, judgment, and professionalism -Accessibility outside traditional business hours, while maintaining a good work/life balance -Ability for overnight travel 5-20%.
