Duties and Responsibilities

  • Act as liaison between supervisor and departmental staff by transmitting requests, messages, and instructions.
  • Assist in budget preparation, expense monitoring, and variance reporting.
  • Coordinate planning and logistics for meetings, forums, conferences, and office activities.
  • Draft, edit, and format informational materials such as brochures, flyers, announcements, letters, and reports.
  • Prepare meeting agendas, minutes, correspondence, statistical reports, and transcribe dictation as required.
  • Manage purchase orders, check requests, petty cash vouchers, tuition reimbursements, and other financial documentation.
  • Arrange travel, accommodations, and prepare expense reports and reimbursements.
  • Screen and prioritize incoming mail and telephone calls, responding or redirecting appropriately.
  • Schedule patient appointments, referrals, and maintain patient billing records (if applicable).
  • Maintain employee and patient files.
  • Assist with payroll processing and managing Paid Time Off (PTO) systems.
  • Track professional licensure expiration dates and notify staff to prevent suspension.
  • Perform other related duties as assigned.
  • Required Skills and Qualifications

    • 2-3 years of administrative or medical office experience required.
    • Proficient with MS Office Suite (Intermediate level).
    • Adaptability to changes in work environment and responsibilities.
    • Strong communication skills with the ability to engage and inform diverse audiences.
    • Ability to build productive customer and strategic work relationships.
    • Effective decision-making and problem-solving skills.
    • Proactive with a strong initiative to accomplish goals.
    • Time management and organizational skills to efficiently manage workload.
    • Attention to detail and commitment to quality in all tasks.
