Job Title: Administrative Assistant

Duties and Responsibilities
- Act as liaison between supervisor and departmental staff by transmitting requests, messages, and instructions.
- Assist in budget preparation, expense monitoring, and variance reporting.
- Coordinate planning and logistics for meetings, forums, conferences, and office activities.
- Draft, edit, and format informational materials such as brochures, flyers, announcements, letters, and reports.
- Prepare meeting agendas, minutes, correspondence, statistical reports, and transcribe dictation as required.
- Manage purchase orders, check requests, petty cash vouchers, tuition reimbursements, and other financial documentation.
- Arrange travel, accommodations, and prepare expense reports and reimbursements.
- Screen and prioritize incoming mail and telephone calls, responding or redirecting appropriately.
- Schedule patient appointments, referrals, and maintain patient billing records (if applicable).
- Maintain employee and patient files.
- Assist with payroll processing and managing Paid Time Off (PTO) systems.
- Track professional licensure expiration dates and notify staff to prevent suspension.
- Perform other related duties as assigned.
Required Skills and Qualifications
- 2-3 years of administrative or medical office experience required.
- Proficient with MS Office Suite (Intermediate level).
- Adaptability to changes in work environment and responsibilities.
- Strong communication skills with the ability to engage and inform diverse audiences.
- Ability to build productive customer and strategic work relationships.
- Effective decision-making and problem-solving skills.
- Proactive with a strong initiative to accomplish goals.
