The Role
The Administrative Assistant serves as the central point of contact for reception operations and provides comprehensive administrative and facilities support. This role is responsible for maintaining a welcoming front office environment, coordinating office supply logistics, managing internal communications, and supporting both the HR and Facilities departments with routine tasks and special projects.
What You'll Do
- Greet visitors, distribute visitor badges, and manage the front desk reception area.
- Route calls to the appropriate department and team.
- Process outgoing/incoming mail, including scanning, filing, and shredding.
- Create and distribute internal communications such as birthday/anniversary emails, newsletters, employee recognition, and company-wide updates.
- Plan and support company events including Month of Fun activities, holiday parties, and other employee engagement events.
- Stock and maintain supplies in office areas, breakrooms, and bathrooms.
- Coordinate facilities, maintenance and repairs as needed.
- Schedule quarterly and annual building maintenance (alarms, fire systems, pressure washing).
- Reconcile travel and expense reports in Concur.
What We're Looking For
- High school diploma or equivalent; associate or bachelor’s degree preferred.
- 2+ years in administrative support, front office, or facilities coordination role.
- Excellent communication and interpersonal skills.
- Strong organizational and time-management abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office software.
- Proficiency in Concur or similar expense management software.
- Experience with Canva a plus.
- Experience in event planning is preferred.
- Ability to lift and carry up to 40 pounds.

Schedule & Environment
Standard schedule: Monday–Friday, 8:00 A.M. to 5:00 P.M. Occasional extended hours for key deadlines, audits, or special projects. Quiet to moderate office environment with typical office equipment exposure.
