Position Summary POSITION SUMMARY: Reporting to the Assistant Vice President of University Marketing , the role of Marketing Operations Manager provides strategic leadership in planning, coordinating, and executing integrated marketing and communication projects that advance institutional goals, with an emphasis on donor engagement, brand consistency, and institutional visibility. The manager serves as the primary liaison between internal university clients and the OMC creative production team, managing intake, timelines, deliverables, and resources to ensure high-quality outcomes. Responsible for a diverse range of projects, including email campaigns, print and digital collateral, and multi-channel marketing initiatives, this role will manage projects across all campus clients with a focus on University Advancement. The ideal candidate thrives in a fast-paced environment, excels at managing multiple priorities, and brings a strong understanding of marketing project management best practices, creative workflows, and cross-functional collaboration. Candidates must reside within approximately 90 miles of Chicago or be able to report to campus within 1–2 hours when needed. While this position is primarily remote, periodic in-person meetings or on-campus responsibilities are required. Duties and Responsibilities In collaboration with the AVP, develop and maintain a comprehensive communications calendar across units (enrollment, advancement, institutional) Serve as intake coordinator for all new projects: determining client needs, gathering required details, assigning internal resources for editorial and graphic design, setting and managing the production schedule, and coordinating final deliverables. Create and manage detailed project plans to ensure on-time, effective delivery of materials to campus clients. Serve as the primary liaison between internal campus clients and the OMC production team. Maintain project schedules and manage client expectations to ensure jobs are completed successfully, accurately, on time, and within budget. In collaboration with team members, gather data and conduct thorough analysis and reporting on campaign effectiveness and tactics, offering strategic recommendations for optimization. Serve as administrator of project management and proofing software, setting and routinely reviewing processes, procedures, and product features to ensure maximum effectiveness for all users; provide training as needed. Facilitate data requests for print and email communications across units. Maintain the department's policies and procedures documents, facilitating an annual review and update with all team members. Minimum Qualifications A bachelor’s degree is required 3–5+ years of experience in project management, marketing/communications coordination, or creative production management, preferably in a higher education setting Proven experience working with cross-functional teams (e.g., writers, designers, developers, clients) in a fast-paced, deadline-driven environment Proficient knowledge in modern project management and marketing tools (Basecamp and/or Trello, preferred) Strong understanding of content workflows, including copywriting, editing, proofreading, design, and approval processes Demonstrated commitment to fostering an equitable and inclusive working environment through marketing practices, team collaboration, and client engagement. Preferred Qualifications Experience managing marketing operations or communications strategy within advancement, alumni engagement, or fundraising contexts. Proficiency in Microsoft Word, Excel and Outlook Excellent working knowledge of project management software Working understanding of email management within database CRM systems (experience with Blackbaud/Raiser’s Edge a plus) Demonstrated ability to multitask and successfully meet project goals and deadlines PMP, CAPM, or similar project management certification preferred Excellent communication and interpersonal skills Strong attention to detail and ability to manage multiple priorities simultaneously Excellent customer service skills, strong organization, attention to detail, and the ability to think creatively Physical Demands Ability to spend long durations of the workday sitting at a desk and working on a computer Must be able to lift up to 15 pounds at times Salary and FLSA Status FLSA Status: Exempt – Full-time, 37.5 hours Benefits Comprehensive health, dental, and vision insurance Retirement plan with employer matching Tuition remission for employees and their dependents About Dominican University Dominican University is a Catholic, comprehensive teaching university located in River Forest, a suburb of Chicago, with an additional campus in the Pilsen neighborhood of Chicago.
