Human Resources Assistant
The Human Resources Assistant supports the effective and efficient operations of Quick Quack’s Human Resources Department by performing a variety of administrative tasks and services. This role requires maintaining the highest level of confidentiality with all sensitive information.
Essential Duties & Responsibilities- Assist with HR auditing and processes; recommend improvements for department efficiency.
- Regularly update and manage information within the company’s HRIS, ensuring accuracy and confidentiality.
- Update payroll records to reflect changes in insurance coverage, benefit deductions, income withholding orders, job titles, department assignments, etc.
- Maintain accurate and current human resource files, records, and documentation.
- Safeguard the integrity and confidentiality of HR files and records.
- Respond to Team Member inquiries related to payroll, standard policies, benefits, and the code of conduct; escalate complex issues to senior HR staff as needed.
- Conduct periodic audits of HR files and records to ensure all required documentation is collected and filed properly.
- Provide clerical and administrative support to the HR department.
- Assist with payroll functions, including creating manual checks, processing, resolving errors, and answering employee questions.
- Support recruiting efforts, including scheduling interviews, assisting with candidate screening, and onboarding for multiple departments.
- Verify I-9 documentation and maintain compliance records.
- Conduct or assist with new hire orientation and complete related data entry.
- Perform additional duties as assigned.
- Excellent verbal and written communication skills.
- Strong interpersonal skills with the ability to handle sensitive and confidential matters with tact and professionalism.
- Highly organized with strong attention to detail.
- Proficient in Microsoft Office Suite or related software.
- High school diploma required; Bachelor’s Degree in Human Resources or related field preferred.
- 2–3 years of office experience preferred.
- If driving is required, must possess a valid, current driver’s license with a clean record.
- Ability to sit for prolonged periods while working at a computer.
- Must be able to lift up to 15 pounds occasionally.
