Product Fulfillment Coordinator
The Product Fulfillment Coordinator is a dynamic position within the Operations and Fulfillment team, responsible for ensuring seamless product flow from warehouse to customer. This role combines administrative precision with hands-on logistical support to provide order management, product fulfillment, maintain inventory accuracy, and uphold service excellence.
The ideal candidate will be detail-oriented, organized, self-starter, and proactive, with Microsoft Excel/data entry skills, and excellent communication skills.
Key Administrative Responsibilities Manage end-to-end order processing within NetSuite, including order entry, inventory allocation, fulfillment, shipping, and invoicing Utilize dual-system platforms to retrieve customer account details and verify production output aligns with supplies ordered, flagging discrepancies for review and approvals Enter sales orders, generate picking tickets and prepare shipping documents Coordinate with Sales and Enrolment teams to obtain product and quantity approvals, and proactively follow-up on pending approvals Process inventory work orders and assemblies in NetSuite to fulfill open sales orders Build and nurture strong customer relationships with Partners, Agents and Customers by delivering responsive, high-quality service and resolving inquiries effectively Provide administrative and backup support to the Director of Fulfillment, including assisting with daily operational tasks, coordinating team communications, and stepping in during absences to ensure continuity of fulfillment in the packing and shipping processes.
Key Logistical Support Responsibilities Receive, inspect and record incoming shipments Help with inventory reconciliation, cycle counts, and inventory management. Ensure accuracy in shipping documents, bills of lading, and related paperwork. Maintain a clean, organized, and safe work environment. Consistently support and adhere to all company safety policies and procedures. When needed, help support warehouse operations, including packing, labeling, and staging orders.
Qualifications Previous experience in fulfillment, logistics, or order processing (chemical industry experience a plus). Strong proficiency in Microsoft Excel, accurate data entry, and experience with NetSuite. Excellent organizational and time management abilities. Clear and professional communication skills (written and verbal). Ability to thrive in a fast-paced, administrative/warehouse environment. Strong problem-solving skills and attention to detail. Willingness to work onsite daily in our Irving, TX warehouse. Team spirit
