Job Title : Administrative Business Partner
Location : South San Francisco, CA 94080 (Must be comfortable working onsite 5 days per week)
Duration : Until 04/26/2026
Max Pay : $33.00 per hour on W2
Primary Responsibilities
- Provide accurate and effective administrative support to Managers.
- Coordinate administrative duties with other Administrative Associates to ensure seamless group
- support.
- Identify and anticipate the needs of the group; plan work activities accordingly.
- Manage multiple schedules, including heavy calendaring of complex meetings.
- Arrange, coordinate, and support meetings, events, and activities both onsite and offsite.
- Generate, disseminate, and maintain documents and information.
- Develop, implement, and evaluate departmental work processes and procedures.
- Manage deadlines related to business planning and special projects.
- Collaborate with the Admin team to support complex projects and meet deadlines.
General Office Responsibilities
- Schedule and coordinate staff meetings (onsite/offsite).
- Create and prepare presentation materials.
- Assist with special projects.
- Schedule travel for staff.
- Process payments and expense reports.
- Maintain department files.
- Order office supplies.
- Maintain photocopying equipment.
- Order catering and supplies for meetings/events.
- Greet and assist visitors.
- Disseminate information as needed.
- Fully utilize PC/MAC and software applications.
Skills & Qualifications
- 4+ years in administrative roles preferred.
- Ensure adherence to company policies.
- Facilitate communication across individuals, teams, and functions.
- Strong, positive interpersonal skills; ability to work with diverse individuals.
- Attend and actively contribute to staff-level meetings; coordinate and publish agendas and
- minutes.
- Engage in administrative team meetings and projects.
- Proactively maximize the effectiveness of managers and team members.
- Handle sensitive, confidential, and complex information with discretion.
- Take direction from team members while managing time and priorities independently.
- Demonstrate proactive decision-making within agreed parameters.
- Maintain a customer-oriented approach.
- Deliver consistently accurate work; manage multiple projects simultaneously.
- Strong PC/MAC skills; proficient in Microsoft Office and Google Apps (Sheets, Slides, etc.).
- Excellent written and verbal communication.
- Previous experience in biotech preferred.
Education
- BA degree or equivalent experience required.
Work Environment
