Position Overview
The Administrative Support role is responsible for providing day-to-day office, operational, and project support across departments. This position ensures smooth communication, accurate documentation, and efficient coordination between engineering, production, HR, and management. The ideal candidate thrives in a manufacturing/technical environment, balancing clerical expertise with strong organizational and people skills.
Key Responsibilities
General Administration
- Handle correspondence (email, mail, phone calls) in a professional and timely manner.
- Maintain organized filing systems (digital and physical) for contracts, records, and compliance documents.
Operations & Production Support
- Assist with inventory tracking, purchase orders, and vendor communications.
- Coordinate shipping and receiving paperwork for materials and finished parts.
- Prepare, edit, and distribute production reports, meeting notes, and work instructions.
- Monitor supply levels and place orders for office and facility needs.
Project Coordination
- Support cross-functional teams with documentation, scheduling, and status tracking.
- Compile and format data for internal reporting (production hours, safety metrics, quality checks).
- Assist in coordinating audits, certifications, and compliance documentation (ISO, ITAR, AS9100).
Qualifications
- Education: Associate’s degree in Business Administration, Office Management, or related field preferred (or equivalent experience).
- Experience: 2+ years of administrative support, ideally in manufacturing, engineering, aerospace, or related technical industry.
