The Safer Foundation is a social service provider to individuals with arrest and conviction records. Through a full range of services, including case management, educational instruction and advocacy, we focus on preparing individuals for the world of work by helping them find and keep productive and meaningful employment.

General Summary : The Onboarding Coordinator is responsible for ensuring that new employees have a smooth transition into the organization. The Onboarding Coordinator will act as liaison between new hires and their managers or supervisors. They will work with HR team and report directly to the AVP of Human Resources. They will create and implement onboarding programs, which may include training, orientation sessions, and other activities designed to help new hires get up to speed as quickly as possible.

Essential Duties and Responsibilities:

Stakeholder Interface and Service Providing new hires with information about their benefits package, including medical, dental, vision, and life insurance Helping new hires get acquainted with their new environment by acting as a resource and answering questions about the company’s policies and procedures Creating a training schedule, including topics such as company policies, ethics, safety procedures, computer programs, or industry specific knowledge Off boarding duties – Notification of the management of all Safer property that must be returned, and technology staff of the employees end of employment and changing systems and physical facility access. Assisting with administrative tasks such as updating employee information in an HR database Responsible for the oversight and delivery of both in-person and online employee onboarding Assists the AVP of Human Resources and other HR staff with their assigned duties Researches and examines training products, reviews samples, demonstrations, and website content, and suggests additions or enhancements of Safer’s training library to the AVP of Human Resources Performs customer service functions by answering employee requests and questions. Ensuring new hires have the necessary technical assistance to set up their hardware and software. Detailing all new hires' initial tasks and answering any queries. Providing new hires with manuals, guidelines, and passwords, as needed. Introducing new hires to their team members. Welcoming new hires with prepared onboarding kits and an office introduction. Emailing new hires with details about the company, including parking information, work schedules, and dress codes. Demonstrates understanding of the policies and procedures, to ensure development of accurate, timely and responsive plans Maintains online content, including coordinating, updating, and maintaining user interfaces, and documenting processes and policies. Working with senior management to understand the company’s culture, mission, goals, and objectives Remains current on eLearning authoring tools and coordinates and uses Learning Management System (LMS) and related systems technologies to manage employee onboarding experience. Additional duties as assigned.

Stakeholder Outreach and Recruitment Organizes and coordinates training sessions; reserves space for training, ensures that audiovisual equipment is available and operating, distributes materials such as handouts and quizzes, and handles other similar details and tasks. Provide support to team in technology applications, Outlook, Word, PowerPoint and other company or client supported programs Communication with the technology staff to arrange for telephone service, computers etc.[DS1] Notifies proper departments when staff members are terminated

Tracking, Document, and Reporting Develops or assists with development of and maintains a company-wide training calendar; tracks required initial and refresher training schedules. Maintains records of attendance and successful completion of training. Files documents electronically into appropriate employee files. Assists with processing of terminations including facilitating leave with management.[DS2] Completes Forms I-9, verifies I-9 documentation and maintains I-9 files Assists or prepares correspondence as requested. Gathering and filing all paperwork related to new hires, including contracts and non-disclosure agreements. Assist with creation of policies and handbooks that detail company operations. Monitor and distribute adverse reports Generate, route, and file required documents in email, Microsoft Excel, and PowerPoint

Required Knowledge, Skills and Abilities: Experience as an onboarding specialist or in a similar HR role. Experience with HR standard software, such as IRIS and MS Office. Experience with ATS and resume databases. Good working knowledge of HR practices and labor legislation. The ability to work with sensitive and confidential information. Excellent verbal and written communication skills. Strong teamwork skills. Good organizational and time management skills. Exceptional customer services skills

Education and Experience: A bachelor's or associate degree in human resources and or 3 years of experience in a related field. 2 years’ experience in human resources preferably in onboarding and coordination of onboarding
