Position Overview
We are seeking a detail-oriented and highly motivated Office Manager to oversee daily office operations and support leadership at a growing engineering firm. This role requires a strong leader with excellent organizational, communication, and problem-solving skills who can balance administrative management, light HR functions, and occasional marketing coordination. The Office Manager will play a key role in maintaining a positive office culture, ensuring smooth operations, and driving process improvements.
Key Responsibilities
Lead and support the administrative team to ensure efficient day-to-day operations.
Manage vendor relationships, contracts, purchasing, and office supply inventory.
Coordinate office events, seminars, webinars, meetings, and travel arrangements.
Oversee building maintenance and act as point of contact with external vendors.
Assist with HR functions including onboarding, compliance, employee support, and job postings.
Support leadership with calendar management, reporting, and special projects.
Manage certifications, company inbox, and administrative task assignments.
Collaborate with engineers and leadership on Requests for Qualifications (RFQs).
Coordinate and post company content on social media and update website as needed.
Assist with sponsorships, gala registrations, and community engagement activities.
Ensure proper documentation, recordkeeping, and IT support ticket submissions.
Qualifications
5+ years of office management, administrative leadership, or executive assistant experience (experience in engineering/professional services preferred).
Associate's degree required; Bachelor's degree preferred.
Strong organizational and multitasking skills with keen attention to detail.
Excellent written and verbal communication skills.
Proficiency with Microsoft Office Suite; Adobe Acrobat and InDesign experience a plus.
Knowledge of basic HR practices and experience coordinating vendors.
Ability to lead, motivate, and support an administrative team.
