Role Overview:

We are seeking a proactive, highly organized, and driven Fashion Project Manager to join our dynamic team. This role blends creative project oversight with key administrative office responsibilities, making it ideal for someone who thrives in a fast-paced environment and enjoys taking ownership of both strategic and operational tasks. The ideal candidate is a self-starter with a strong sense of initiative, who can confidently manage projects while keeping our office running smoothly.

Executive Assistant/Project Manager Responsibilities: Lead and manage cross-functional fashion projects from concept to completion — including product launches, campaigns, seasonal initiatives, and partnerships. Coordinate with internal teams (Design, Marketing, Production, Sales) and external vendors to ensure timely and successful project execution. Develop and maintain detailed project timelines, track deliverables, and proactively identify roadblocks or delays. Assist in managing budgets, ensuring accurate forecasting and tracking of expenses. Prepare project reports, recaps, and presentations for leadership. Ensure creative assets and brand materials are delivered on time and aligned with project goals. Open and close the office daily, ensuring the space is professional, tidy, and functional for employees and guests. Order office and pantry supplies, manage inventory, and liaise with vendors for facilities-related needs. Manage executive expense reports, credit card reconciliations, and general finance-related tasks. Greet and host VIP guests, clients, and partners — ensuring a warm, professional, and seamless office experience. Coordinate internal meetings and events, including booking conference rooms, arranging catering, and prepping materials. Support with general administrative tasks such as shipping, filing, calendar coordination, and office maintenance requests.

Executive Assistant/Project Manager Qualifications: 3+ years of experience in project management, operations, or executive support — ideally within the fashion, lifestyle, or creative industries. Proven ability to manage multiple projects and priorities in a fast-paced environment. Strong organizational and time-management skills. Excellent written and verbal communication. Detail-oriented with the ability to see the big picture and anticipate needs. Tech-savvy — proficient in Microsoft Office Suite, Google Workspace, and project management tools (e.g., Asana, Trello, Monday.com). Ability to handle sensitive information with discretion.
