Position Overview We are seeking a highly capable and experienced
Legal Assistant
to join our dynamic legal team. This individual will play a critical role in supporting legal operations and assisting with high-priority deal work in a fast-paced financial services environment. The ideal candidate has 3–8 years of relevant experience, a strong background in either financial services or legal environments (ideally both), and thrives in a detail-heavy, deadline-driven role. This position is based in our New York City office and requires
4 days per week onsite .
Key Responsibilities ?
Deal & Transaction Support Assist with
closing processes
for corporate and financial transactions. Coordinate
signatures and execution
of legal and transactional documents. Prepare and organize
closing binders and deal books
post-closing. Liaise with internal teams and external counsel to ensure smooth transaction execution. ?
Document Management & Execution Draft, edit, and format legal documents to meet internal standards (MS Word proficiency required). Manage redlines, bracketed content, and final formatting for execution-ready documents. Maintain organized filing systems, apply consistent naming conventions, and ensure version control. ?
Calendar & Email Support Monitor the legal team’s shared inbox to route messages appropriately and ensure timely responses. Coordinate calendars and schedule meetings, deadlines, and board or committee events. ?
Invoice & Vendor Oversight Track legal invoices and manage the approval and submission process. Maintain a roster of external legal service providers and track engagement terms and deadlines. ?
NDA and Agreement Management Route NDAs for review and execution. Maintain and update NDA tracking database. Follow up with stakeholders to ensure information is complete and up to date. ?
Board & Executive Support Assist in preparing board materials and taking meeting minutes. Ensure accurate and timely distribution of board packages and documentation. ?
Administrative & Operational Legal Support Help prioritize and assign incoming legal tasks within the team. Triaging vague or incomplete requests for clarification. Maintain internal legal task tracker and status reports.
Requirements & Qualifications 3–8 years of experience
as a Legal Assistant, Legal Coordinator, or Paralegal in a
financial services or law firm
environment. Strong knowledge of legal workflows related to
deals, transactions, and closings . High proficiency in
Microsoft Word ,
Adobe Acrobat , and document formatting tools. Excellent organizational skills with keen attention to detail and accuracy. Able to manage multiple priorities, follow through, and meet deadlines with minimal oversight. Professional, articulate, and capable of representing the legal team in both internal and external communications. Experience with legal invoice tracking, service provider oversight, and basic contract lifecycle support. Flexible, proactive, and adaptable to changing priorities in a fast-moving environment. Bachelor’s degree preferred.
