The West Side YMCA is seeking an Administrative Assistant. Under the supervision of the Executive Director, the Administrative Assistant will play a critical role in the successful operation of both the Government and branch-based programs at the West Side YMCA. The Administrative Assistant will be responsible for assisting the Executive Director in providing administrative oversight and support, as well as creating branch program communication materials to ensure quality program execution. **Key Responsibilities:*** Provide administrative support to the Executive Director and other branch Directors as needed to ensure effective communication and efficient operation.* Prepare internal and external communication and schedules for all program departments (Membership, Aquatics, Youth & Family, Healthy Lifestyles, Community Arts, and Theater).* Assist with member communication by means of email and phone.* Assist with organizing, auditing, and tracking staff personnel records.* Assist with HR Audits of program files.* Assist with branch program applications.* Assist with filing and organizing applications, registering participants in AS400 and DYCD Connect, and entering attendance for program participants as needed.* Responsible for department inventory, creating requisitions, receiving POs, resolving Invoice-on-Hold issues, responding to vendor inquiries, and facilitating invoices for payment.* Place supply orders for program departments.* Help with the purchasing card reconciliations.* Assist with sending branch and DYCD participant files to storage.* Uphold all Association policies and demonstrate the values of Respect, Responsibility, Caring, and Honesty.* Other duties as assigned.**Desired Skills & Experience:*** Associate's Degree, experience in a related field required, or equivalent work experience required. Bachelor’s Degree preferred.* One (1) - three (3) years of administrative experience and experience working with staff and volunteers.* Excellent interpersonal communication, both written and oral.* Excellent project management and organizational skills.* Knowledge of Microsoft Office Excel, Word, Publisher, and PowerPoint.* Knowledge of Oracle and ADP E-time.**Benefits:** The YMCA of Greater New York offers a variety of benefits to its staff members, including , medical, paid time off, free YMCA membership, and more!
