Scheduling & Operations Manager

TLC Home Care, New York, New York, United States

Save Job

ABOUT THE ROLE TLC Home Care is a locally owned, trusted provider of non-medical home care services. We’re looking for a sharp, ambitious Operations & Scheduling Coordinator to manage caregiver schedules, resolve call-offs, and support our care team.

This is a remote position where you’ll work full days from home on a company-provided laptop. On your assigned days, you will be the first point of contact for urgent caregiver schedule changes or client needs, and calls can come in at any hour (day or night).

This role requires someone who can stay calm under pressure, think quickly, and keep operations running smoothly. It is

not compatible with another full-time job or with caregiving responsibilities

— you must be able to give your full attention to TLC Home Care during your assigned days.

The position will begin on a trial basis to ensure the right fit. This is also a growth-oriented role. The right candidate will gain exposure to all aspects of running a home care agency, with the potential to step into a leadership role.

RESPONSIBILITIES Build and manage daily/weekly caregiver schedules in AxisCare software Serve as the first point of contact for caregiver call-offs, including urgent early morning or late evening situations Quickly reassign shifts and maintain coverage to ensure seamless client care Triage new client referrals and handle all incoming requests through the business phone, ensuring each issue is fully addressed (not passed back as a “to-do” list for the Owner) Communicate clearly and respectfully with caregivers and clients to resolve scheduling issues Maintain accurate caregiver records (availability, credentials, compliance) Track and escalate recurring staffing or scheduling challenges

WHAT WE’RE LOOKING FOR Strongly preferred: healthcare scheduling, medical office admin, or staffing agency background Comfortable using software (AxisCare or similar) Highly organized, detail-oriented, and calm under pressure Reliable and able to dedicate full attention during assigned days, including urgent early morning or evening calls Strong communicator who balances firmness with empathy Ambitious, dependable, and eager to take on operational responsibility

SCHEDULE & COMPENSATION Part-time, 2 back-to-back days each week (days are flexible; ~16–20 hrs/week) Each scheduled day is a full 8-hour workday, with urgent calls outside business hours included as part of your role $23–27/hr depending on experience Paid for full workdays on your assigned schedule Laptop provided for remote work Flexible, part-time role with potential to expand Direct mentorship from the Owner on managing a successful home care agency Trial basis to start — ensuring a mutual fit before long-term commitment
