BRIEF DESCRIPTION:

The Chief Academic Officer's office is looking for a federal work-study student to work alongside the administrators of the SMT Dean's Office, The Academic Liaison Officer Office, and the Ethnic Centers; Centro Latino, Asian American Center, Pannell Center, and Korean Center. This position will help with general event support, group meeting scheduling, and financial paperwork tasks. This person should be highly organized and have the ability to work in a collaborative environment. This position requires cross-cultural sensitivity and respect; the ability to communicate with people of various cultures.

Essential Functions: Support the work of administrator with year-round event planning activities including internal and external communications Assist administrators with preparing basic financial paperwork Assist administrators schedule group meetings using tools like doodle and google calendar Event Planning:

Assist administrators in year-round coordinating tasks including room registration, food ordering/pickup, media, etc. Follow communication with event speakers in coordination with centers to coordinate for: Tracking the necessary forms in order to receive payment such as Media Release forms, Independent Contractor Forms, and W-9/8s, etc. Assist with campus access for speakers including parking pass(es), library access, maps, etc. Communication and Multimedia:

Provide assistance in sending communication notices to students and the community in general through Fuller portals Other communication tasks may include creating promotional materials, preparing Powerpoint presentations / PDF files for reports, etc. Financial:

Provide assistance to administrators in gathering receipts and information for reimbursement Prepare reclassification and reimbursement forms with the guidance of administrators Other:

Provide administrative support in areas such as correspondence, and library requests as needed. Provide other administrative support as needed and assigned by the Director of Operations for the CAO office. Qualifications:

Must be a current Fuller student with possible qualification for Federal Student Aid Only available to Pasadena campus students Cross-cultural sensitivity and respect; able to communicate with people of various cultures Capacity to maintain a high degree of communication, information sharing, and collaboration Word-processing skills; advanced proficiency with MS Word, Excel, Adobe Acrobat, Google Docs, and Canvas; interest and ability to enhance computer skills Strong organizational skills and the ability to self-pace and keep deadlines when working on multiple short-term and long-term projects. Able to follow-through and follow-up on all tasks. Desired Qualities:

Fuller event production experience highly desired Ability to speak any of the following languages: Spanish, Korean, Mandarin Maintain courtesy and absolute professional confidentiality and discretion in all matters relating to the work of the Ethnic centers and the life of the seminary. Physical Requirements:

Moderate carrying in preparations for events; less than 15 lbs Additional Remarks:

Must be eligible for Federal Work Study Must be willing to abide by Fuller Community Standards This is an on-campus position and expected to work out of the Pasadena, CA campus Pay Scale

Hourly rate the seminary expects to pay: $19.00 per hour USD
